Policies

Health and safety policy

The Powerful Group Limited (“we”, “us”) runs Powerful Digital Marketing, Powerful Reviews and Powerful Tickets. This policy sets out how we protect the health, safety and wellbeing of the people who work for us and of anyone affected by our work, and who is responsible for what.

Effective date: 27 October 2026

Our commitment

We will do everything that is reasonably practicable to prevent injury and ill health, in line with the Health and Safety at Work etc. Act 1974 and the regulations made under it. We will assess the risks in our work, act on what we find, give people the information and training they need, and listen to concerns.

We are a small, home-based digital agency. Most of our work is done at a computer, at home or online, so this policy focuses on the risks that really apply to us: display screen work, homeworking, working alone, stress and wellbeing, and the occasional visit to a client site, shoot or event. It is proportionate to a business of our size. We do not hold ISO 45001 or any other health and safety certification.

Who this policy covers

This policy applies to all our employees and workers. Freelancers, contractors and partners are responsible for their own health and safety, but we expect them to follow this policy and any site rules when they work with us or on our behalf, and we tell them about any risks we know of.

Where we work

Our registered office is at 124 City Road, London EC1V 2NX. We do not have an office where our team works: everyone works from home. Some work may take us to client sites, shoots, events or other venues.

Risk assessment

The Management of Health and Safety at Work Regulations 1999 require us to assess the risks to health and safety in our work and record the significant findings. We do not yet have a written risk assessment. We will carry out a written display screen equipment (DSE) and homeworking risk assessment, covering display screen work, homeworking, lone working, work-related stress and visits to client sites, shoots and events, and act on what it finds. Once it is in place, we will review it at least once a year, when our work changes, and after any accident or near miss.

We carry out a specific risk assessment for anyone who tells us they are pregnant, have recently given birth or are breastfeeding, and for anyone under 18 who works for us, including on work experience.

Display screen equipment and homeworking

Most of our work is done at screens, so we follow the Health and Safety (Display Screen Equipment) Regulations 1992, including for people working at home.

  • We will ask everyone who uses a screen regularly for work to complete a workstation self-assessment when they start, when their set-up changes, and at least once a year. We will act on any problem it shows, and agree with the person what equipment or changes are needed.
  • We encourage regular breaks and changes of activity away from the screen.
  • Anyone who uses a screen regularly for work can ask us to arrange and pay for an eye and eyesight test, and we will pay for basic glasses if they are needed specifically for screen work.
  • People working at home should keep their work area free of trip hazards and overloaded sockets, and tell us about any concern with their set-up.

Lone working

Most of our team work alone at home, and some visits and shoots involve working alone. For lone working we:

  • keep in regular contact through our usual online tools during working hours
  • ask anyone visiting a site, shoot or meeting alone to tell Andrew Todd where they are going and when they expect to finish, and to check in with him afterwards
  • do not ask anyone to do higher-risk work alone, such as working at height, handling heavy equipment, or working late at an unfamiliar location, without a specific risk assessment

Stress and wellbeing

We take work-related stress as seriously as physical risks, using the Health and Safety Executive’s (HSE) Management Standards as a guide. We plan workloads and deadlines realistically, keep regular one-to-one conversations, and respect working hours and time off. Anyone who feels under pressure should talk to Andrew Todd as early as possible, and we will look at what we can change.

Client sites, shoots and events

When we work at a client’s premises, a venue or a location shoot, the person in control of that site is responsible for its safety arrangements, and we follow their rules. Before the work we:

  • ask the client or venue for any site rules, hazards and safety information that affect us
  • agree who is in charge on the day, and plan the work so that no one has to take risks to get a shot or meet a deadline
  • if we organise a shoot or event ourselves, make sure there is a risk assessment, with a partner’s or venue’s own risk assessment where they are responsible for that part of the work

Anyone can stop work they think is unsafe, and will not be treated badly for doing so.

Driving for work

No one drives for work on our behalf. If that changes, we will assess the risks and update this policy before anyone does.

Fire and emergencies

At client premises and venues, everyone must follow the host’s fire and emergency procedures, make sure they know the exits and assembly point, and sign in and out where asked. At home, we encourage everyone to keep a working smoke alarm.

First aid

The Health and Safety (First-Aid) Regulations 1981 require us to assess our first aid needs, and we will include this in our risk assessment. We do not currently have a trained first aider. As our team works from home, everyone should call 999 in an emergency, or 111 for urgent medical advice. When we attend a client site or venue, we use the host’s first aid arrangements. For any shoot or event we organise, we will make sure first aid cover is in place.

Accidents and near misses

Anyone who has an accident, injury or near miss while working, including at home or at a client site, must tell Andrew Todd as soon as possible. We record every accident and near miss, look into what happened and act to stop it happening again. If it happens at a client site, we also tell the client.

Where the law requires, we report certain work-related injuries, diseases and dangerous occurrences to the HSE under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR). This includes injuries that keep someone off work or unable to do their normal work for more than seven days in a row, not counting the day of the accident. We keep accident records for at least three years.

Insurance

We do not currently hold employer’s liability insurance. The Employers’ Liability (Compulsory Insurance) Act 1969 requires it once a business employs anyone, and we will arrange it before we employ staff and make the certificate available to them.

Your responsibilities

Everyone who works for us must take reasonable care of their own health and safety and that of others, follow this policy and any site rules, use equipment properly, and report hazards, accidents and near misses straight away.

Talking to us about health and safety

We consult everyone who works for us directly about health and safety, including when we change how we work. You can raise a concern at any time with Andrew Todd or by email to info@powerfuldigitalmarketing.com. If you still have a concern, you can contact the HSE.

Responsibilities and review

Andrew Todd, CEO, has overall responsibility for health and safety and for this policy, the risk assessment and the accident records. Where we need specialist health and safety advice, we will get it from a competent outside adviser.

We will review this policy at least once a year, and sooner if the law, our work or our risks change, or after a significant accident.
